How to Manage Roles and Permissions

Overview 

Roles are how FieldPie decides what each user can see and change. Under Role Management in Settings you create roles, name them, and then set—module by module—whether a role can view or edit that part of the app. Because every user is assigned a role when they are created, getting your roles right is the foundation of access control across the whole account. A well-designed set of roles lets you onboard people quickly, since assigning the right role instantly grants the correct permissions. 

Before You Start 

You need administrator access to Settings and a clear idea of the job types in your organization. Before you start, list the roles you need (for example field rep, supervisor, admin) and decide which modules each should view or edit, so you can configure permissions confidently. 

How to Manage Roles and Permissions

  1. Click your profile in the top-right corner, then click Settings
  1. Scroll down to the Role Management section and open it. 
  1. Click the pencil icon to edit the roles. 
  1. Click the + icon to add a new role, or the trash icon to remove one. 
  1. Enter a name for the role, then click Save to store your role changes. 
  1. On the Role Management page, select the role you want to configure from the list. 
  1. Choose which modules the role can view or edit. 
  1. Use the checkboxes to enable or disable View and Edit permissions for each module. 
  1. Click Save to apply the permissions to the role. 

Tips and Things to Know

  • View and Edit are separate: a role can be allowed to see a module without being able to change it. 
  • Design a small number of clear roles rather than many overlapping ones—it is far easier to maintain. 
  • The roles you define here are the exact list a user can be assigned when you create or edit them. 
  • Changing a role’s permissions affects every user who holds that role, so review the impact before saving.
