How to Create an Email Workflow

Overview 

An email workflow sends an email automatically when a form rule is triggered, keeping the right people informed without manual messages. You define the rule and state, add a Send E-mail action, choose the recipients (including a specific user and CC addresses), set the subject, timing, and content, and save. This is ideal for alerts and notifications tied to what your team submits. 

Before You Start 

You need access to the Forms area and permission to edit forms. Know who should receive the email, the subject and content, and when it should send. 

How to Create an Email Workflow

  1. From the left navigation menu, select Forms, then click the Form icon in the upper-right corner.
  1. Click the pencil icon to add existing forms, or click the plus icon to create and add a new form to the workflow. 
  1. Go to the bottom of the page and choose the workflow; select a rule and its resulting state
  1. Click + to add an action, then select Send E-mail
  1. Choose who should receive the email, including a Specific User if needed. 
  1. Add CC recipients to the email. 
  1. Enter a subject for the email. 
  1. Select the action timing
  1. Enter the email content
  1. Click OK to save the email, then click SAVE to save the workflow.
