How to Create a Workflow

Overview 

Creating a workflow defines exactly what FieldPie should do automatically when a rule is triggered. You select a rule and the resulting state, then add one or more actions—sending emails, creating tasks or visits, updating client states, or sending customer survey emails—each with its timing. Workflows can be removed later if a form no longer needs them. This is the general pattern behind all the specific workflow types. 

Before You Start 

You need access to the Forms area and permission to edit forms. Decide the rule, the resulting state, and which automatic actions should follow before you build the workflow. 

How to Create a Workflow

  1. From the left navigation menu, select Forms
  1. Click the Form icon in the upper-right corner. 
  1. Click the pencil icon to add existing forms, or the plus icon to create and add a new form to the workflow. 
  1. Go to the bottom of the page and choose the workflow
  1. Select a workflow rule and define the resulting state when the rule is triggered. 
  1. Click + to add an action. 
  1. Configure the action—options include sending emails, creating tasks or visits, updating client states, and sending customer survey emails. 
  1. Select an action timing from the list. 
  1. Complete all required fields and click OK
  1. Click Save to create the workflow. To remove a workflow later, use the trash icons. 

Tips and Things to Know

  • A single workflow can run several actions when its rule triggers. 
  • Available actions include emails, tasks, visits, state changes, and survey emails. 
  • Action timing decides when each action fires relative to the trigger. 
  • Use the trash icons to remove a workflow a form no longer needs.
