How to Create a Task

Overview 

A task assigns a specific piece of work to a user or team at a location, within a time window, with the details and requirements you set. You choose the task type, define the start and end times, add instructions, and can require a photo or note and attach a mandatory form. Once saved, the task is assigned and ready to be carried out. Setting clear requirements up front means the field team knows exactly what completing the task involves.

Before You Start 

You need access to the Tasks area and permission to create tasks. Know who the task is for, which location it applies to, the task type, and the time window. Make sure any form you want to attach and the task type you need already exist.

How to create a task 

  1. In the left navigation menu, select Tasks
  1. Click the plus (+) icon in the top-right corner. 
  2. Choose the user or team to assign. 
  3. Select the visibility option. 
  4. Choose the location to assign.
  5. Select a task type
  6. Set the start and end time for the task. 
  7. Add the task details
  1. Check the boxes to require a photo and a note
  2. Add a mandatory form from the list if needed. 

11. Click Save to save the task. 

Tips and things to know 

  • Requiring a photo or note makes sure the field team provides proof of completion. 
  • Attaching a mandatory form builds data collection right into the task. 
  • Visibility controls who can see the task, so set it to match your needs. 
  • The task type comes from your Task Types settings—define the types you need first.
