How to Copy Data from the Last Form

Overview 

The Copy From Last Form feature carries values forward from a previous submission, so recurring visits don’t require re-entering the same data every time. You enable the feature, define rules for when it applies using an If condition and a resulting state, and choose which specific rows should copy. This saves time on repeat visits and keeps data consistent between them. 

Before You Start

You need access to the Forms area and permission to edit forms. Decide which rows should carry over and under what condition (the If rule) before you configure it. 

How to Copy Data from the Last Form

  1. From the left navigation menu, select Forms
  1. Click the Form icon in the upper-right corner. 
  1. Click the plus (+) icon to create a form, or the pencil icon to edit one. 
  1. Check Copy From Last Form to enable the feature. 
  1. Click the pencil icon that appears next to it. If needed, click the icon to configure conditions that determine when the system should stop copying data from the previous form. 
  1. Click the + button to create a new rule. 
  1. Select a condition from the If list to define when the rule applies. 
  1. Select the desired state from the list, then click Save to save the rule. 
  1. Scroll to the Field section and enable Copy From Last Form for the specific rows you want to copy. 
  1. Click Save to store the form.

  • Great for recurring visits where much of the data stays the same. 
  • The If condition controls when the copy rule applies. 
  • Enable copying only on the specific rows that should carry over. 
  • Consistent carried-over data makes trends between visits clearer.
