Overview
Workflows let a form trigger automatic actions when a rule is met, turning data collection into automation. On a form you choose a rule and the state that triggers it, then add an action with its type and timing. Adding a workflow is how you make FieldPie react to what your team submits—without anyone doing it manually.
Before You Start
You need access to the Forms area and permission to edit forms. Decide which rule should trigger the workflow, the resulting state, and what action should follow.
How to Add a Workflow to a Form
- From the left navigation menu, select Forms.
- Click the Form icon in the upper-right corner.

- Click the pencil icon next to the form you want to edit. or click the plus icon to create and add a new form to the workflow.
- Go to the bottom of the page and choose the workflow.
- Enter a name for the workflow.

- You can create a workflow based on a selected rule, or set the trigger to a Form Submission or Visit Completion
- Select a rule from the list and add it.
- Select a state from the list.
- Click + to add an action.

- Add an action to define what should happen automatically when the rule is triggered. Depending on your workflow, you can choose to send an email, create a task, create a visit, send a client survey email, or update client state.
- Select an action timing from the list.
- Complete all required fields, then click OK to continue.
- Click Save to create the workflow.
- If you want to remove the workflow from the form, click the trash bin icons.

- With the workflows you can create various actions and send notificaitons based on the triggers you have created on the selected form.
- Action timing controls when the automatic action fires.
- Workflows remove manual follow-up by reacting to submissions automatically.
