How to Set Form Access, Visibility, and Restrictions

Overview 

FieldPie gives you fine control over when and to whom a form is available. From a form’s settings you can set whether it appears during a visit or out of visit, restrict it to certain work-order types or main customers, and limit which users can view and complete it. Configuring these settings ensures the right people see the right forms at the right time. 

Before You Start

You need access to the Forms area and permission to edit forms. Decide the form’s visibility (during or out of visit) and which work-order types, main customers, and users it should be limited to. 

How to Set Form Access, Visibility, and Restrictions

  1. From the left navigation menu, select Forms
  1. Click the Form icon in the upper-right corner. 
  1. Click the plus (+) icon for Custom Forms, or the pencil icon to edit an existing form. 
  1. In the Visibility settings, choose whether the form is available During Visit or Out of Visit
  1. Use Restrict to Work Order Type to define which work-order types can access the form. 
  1. Use Restrict to Main Customer to specify which main customers the form is available for. 
  1. Select a single user or multiple users to make the form available only to those assigned users. 
  1. Use Restrict User Access to limit who can access the form, then select the users allowed to view and complete it.

  • Visibility decides whether a form shows during a visit or outside of one. 
  • Restrict by work-order type or main customer to target the right context. 
  • Limit user access so only the intended people can complete the form. 
  • Combine these settings to show exactly the right form at the right time.
