How to Pre-fill Fields with Product Data

Overview 

You can have form fields automatically fill in from your product catalog, so users don’t retype known details. Using Pre-fill with Product, a field like Brand or Price draws its value from the selected product’s data via a lookup. This speeds up data entry, reduces errors, and keeps form values consistent with your catalog. 

Before You Start

You need access to the Forms area and permission to edit forms, and a product-related form to work in. Make sure the product data you want to pull (such as brand or list price) exists on your products. 

How to Pre-Fill Fields with Product Data

  1. From the left navigation menu, select Forms
  1. Click the Form icon in the upper-right corner. 
  1. Select a product-related form, such as Product Availability. 
  1. In the first row, add a Product field and set its type to Product Selection
  1. Enter the fields you wanted to bring the data automatically such as Brand, Category etc. Select single line text.  
  1. Click the pencil icon next to the field, then click Prefill with Product
  1. From the Lookup Field dropdown select Product, and from Product Field select Main Customer Brand, then click OK
  1. Add a Price field as Single Text Line, open its pencil, enable Pre-fill with Product, choose Product as the Lookup Field and List Price as the Product Field, then click OK
  1. Click Save to finalize the form. 

Tips and Things to Know

  • Pre-fill pulls values like brand and list price straight from the product. 
  • The Lookup Field points at the product; the Product Field picks which detail to pull. 
  • This reduces retyping and keeps form data consistent with your catalog. 
  • Works best on product-related forms with a Product Selection field.
